Meeting Room Reservations

Meeting Room Policy

The Portneuf District Library has a Meeting Room suitable for use by up to 100 people.
  • Public forum space is available for use by non-profit organizations, social organizations, special interest groups and governmental agencies or organizations which qualify for non-profit status under the rules of Idaho State Code.
  • A refundable security deposit of $25 is required. Other fees may apply. Please see Reservation Fee Schedule for rates for meeting times which extend beyond posted Library hours.
  • The person requesting the reservation should live within School District 25.
  • Reservations may be made up to 45 days prior to the meeting.
  • Reservations for using the Meeting Room are made by Susan Marple at the Information Desk, or with Director Karen Pettinger or Assistant Director Cheryl Sebold.
  • Reservations may be taken over the phone, but the person responsible for the meeting must come into the Library to read the Reservation Policy statement and fill out the Request form within the next two (2) business days and prior to the meeting.
  • The Library must be notified if the group is unable to use the room after having reserved it.
  • No flyers or posters may be posted outside of the meeting room and library patrons may not be solicited.
  • Setup and cleanup are the responsibility of the group using the room. A vacuum is kept in the closet for this purpose. Groups using the room are expected to return it to the state of upkeep in which they found it. Cleaning costs necessitated by the use of the room and/or damage to any equipment in the room or kitchen will be the responsibility of the group using the room. If any costs or damages exceed the refundable fees, the users will be required to pay the additional expenses. Failure to pay will cost the users the right to use the room again, and possible legal recourse by the Library.
  • Smoking and alcoholic beverages are prohibited.
  • Equipment should be reserved at the time reservations are made. Available for use are a piano, TV and VCR, 16mm projector, slide projector, screen, chalkboard, 4 tables and 100 chairs. Internet capability can be arranged.
  • Library sponsored activities are given priority in scheduling use of the Meeting Room.
